After logging in, the Client Select screen will now display.
The Client Select screen will default to the All Clients option and this will display all your agency’s clients.
The Client Select screen features a type-ahead feature that allows users to quickly find a client by entering part of the client’s name.
Selecting Action List allows agents to only display those clients for whom they currently have actions outstanding.
Hotel Booker then displays the Open Enquiries and Provisional Cancellations for the selected client.
Agents are also able to view bookings (both Open Enquiries and Provisional Cancellations) at a particular hotel across a number of clients at the same time.
Selecting Client Groups will display a list of client groups that have been created for your agency, with the number of open enquiries and provisional cancellations across all clients in the group.
NB. Please note that to use this functionality your Client Groups must be set up in the Agency Admin Tool. To have these configured, please contact your admin user.
Once a group has been chosen, the Client Groups page has two modes: Booking View and Hotel View. The page defaults to Booking View, where a list of Open Enquiries and Provisional Cancellations for each client in the selected group will be shown.
Selecting Hotel View displays the individual hotels that have Open Enquiries and the number of Open Enquiries at each one. When a hotel is chosen from the list, the page displays individual enquiries at the selected hotel.
Alternatively, to locate a booking, enter the booking reference number into the search box and select Find Booking.
The booking details for that reference number will immediately be retrieved.
Select Home in the top left hand corner of the screen to return to the home page. The home page displays any open bookings yet to be processed, whether they are open enquiries or provisional cancellations.
The Client Details tab can be accessed at any time. It displays the status of any open enquiries or provisional cancellations for that client company. This can be found on the left of the screen under Search and Booking Details.
Select to refresh the details.
Selecting one of Open Enquiries or Provisional Cancellations will only display bookings with that status.
Bookings are distinguished according to this colour key:
Gold = Open Enquiry; yet to be fulfilled.
Blue = Confirmed Reservations.
Red = Provisional Cancellations; yet to be confirmed with the hotel.
Black = Cancelled.
Bookings can be displayed in three categories:
Open Bookings require further response from your agency; for instance, offline enquiries or provisional cancellations.
My Recent Bookings displays the fifteen most recent bookings entered or confirmed for that client company under this username.
Today’s Bookings displays all bookings created today for that client company under this username.
These bookings can be arranged according to Arrival ASC, Arrival DESC, Created ASC, Created DESC, Booking Ref. ASC or Booking Ref. DESC.
Open Enquiries are bookings entered into Hotel Booker that are yet to be fulfilled. It is worth noting that they may have been submitted directly by the client themselves. If the GDS displays the requested hotel as ‘full’ or that hotel does not feature at all on the GDS, the enquiry will be stored in Open Enquiries to be manually processed by the agency.
Provisional Cancellations are booking originally made ‘offline’ that have been cancelled by client using Hotel Booker. They will be stored under Provisional Cancellations to be manually processed by the agency. Rooms should be cancelled in the manner in which they were originally booked, i.e. by telephone or via the internet.
NB. ASC - Ascending and DESC - Descending
